Data is everywhere at an institution in many data systems. And growing all the time. Data at an institution needs to be understood, individually and collectively, and can’t be done without a data system inventory. There are many benefits of having an effective inventory of data systems. Part of the knowledgebase for data governance, creating a data system inventory is usually a good first task in the knowledgebase creation. And remember it is necessary to inventory the “shadow systems”. These databases or spreadsheets often exist without the knowledge of data trustees or stewards. It is important to have the necessary information about each data system. But building a inventory of data systems is not easy. Institutions need to take defined steps to build their data system inventory and have it be part of a process to create and maintain. There are many pieces to the data systems inventory that adds complexity.
